InternCrew, LLC (“InternCrew,” “we,” “us,” or “our”) is a work-based learning platform and Employer of Record (EOR) service based in Indiana. We serve three groups of people: students seeking paid internship placements, employers looking to build talent pipelines, and schools working to satisfy Indiana’s Work-Based Learning diploma requirements under HB 1243.
This Privacy Policy applies to all information collected through our website (interncrew.com), our platform, and any related services we offer.
2. Information We Collect
We collect information in two ways: information you provide to us directly, and limited information we collect automatically.
Information You Provide
Students may provide:
- Name, school, grade level, and date of birth
- Contact information (email address, phone number)
- Interests, career goals, and availability/schedule
- Skills, experiences, and work preferences
- Placement history, hours logged, and competency progress
- Information needed for employment onboarding (as InternCrew is your legal Employer of Record, we collect information standard to employment, such as tax forms)
Employers may provide:
- Company name, industry, and location
- Contact information for authorized representatives
- Internship descriptions, scheduling needs, and workplace requirements
- Information required for placement agreements and grant applications (e.g., EARN Indiana)
Schools and school staff may provide:
- School or district name and contact information
- Authorized counselor or administrator contact details
- Student enrollment rosters and progress data shared for reporting purposes
Information Collected Automatically
When you visit our website, we may automatically collect limited technical data such as your browser type, device type, referring URL, and pages visited. This data is used solely for keeping our website functional and secure — not for tracking individuals or building behavioral profiles.
We do not use third-party advertising trackers, cross-site tracking pixels, or behavioral analytics services.
3. How We Use Your Information
We use the information we collect exclusively for legitimate business purposes directly related to operating our work-based learning platform and fulfilling our mission:
- Student placement and matching: Using student profiles to identify good-fit employer opportunities and arrange placements.
- Employer of Record obligations: Processing payroll, taxes, workers’ compensation, and other legal employment requirements on behalf of placed students.
- Compliance and grant management: Submitting and managing EARN Indiana work study grant applications, tracking WBL hours and competency milestones, and generating school-facing compliance reports.
- Platform communication: Sending placement updates, onboarding instructions, and operational notices to students, employers, and school contacts.
- Safety and fraud prevention: Verifying identities and maintaining a safe environment for minors working through our platform.
- Legal compliance: Meeting obligations under applicable federal and state law, including those specific to employing minors.
We will not use your information for any purpose beyond what is described here without first obtaining your explicit consent.
4. How We Share Your Information
We do not sell, rent, or share your personal information with third parties for their own marketing or commercial purposes — full stop.
We share information only in the following limited circumstances:
- Placement facilitation: We share relevant student profile information with matched employers as part of the placement process. Employers receive only the information necessary to evaluate and work with a student placed in their business.
- School reporting: We share student placement progress, hours logged, and competency completion data with authorized school counselors and administrators for the students enrolled at their school.
- State agencies and grant programs: We share information necessary for EARN Indiana grant applications and compliance reporting with Indiana state agencies, as required by those programs.
- Service providers: We may engage trusted third-party vendors (e.g., payroll processors, cloud infrastructure providers) who act as data processors on our behalf. These vendors are contractually bound to use your data only as directed by InternCrew and in accordance with this policy.
- Legal requirements: We may disclose information if required by law, court order, or government authority, or to protect the safety of minors or others when we have a good-faith belief that disclosure is necessary.
5. A Note About Minors
InternCrew serves high school students, many of whom are under 18. We take the privacy and safety of minors extremely seriously. We collect only the information necessary to run our program, and we apply heightened care to how that information is handled, stored, and shared.
We do not build advertising profiles on minors and we do not share student information with any party except as described in this policy.

6. Data Retention
We retain personal information for as long as necessary to fulfill the purposes described in this policy, or as required by law. For students, we generally retain placement and employment records for a minimum of seven years following the end of a placement, as required for tax and employment compliance purposes.
You may request deletion of your account and associated personal data at any time. We will honor deletion requests promptly, subject to any legal retention requirements that prevent us from doing so immediately.
7. Security
We implement administrative, technical, and physical safeguards designed to protect your personal information against unauthorized access, loss, or misuse. Access to personal data is restricted to InternCrew personnel and authorized service providers who have a legitimate need to access it.
No transmission over the internet or electronic storage system is 100% secure. We encourage you to use strong, unique passwords and to contact us immediately if you suspect unauthorized access to your account.
8. Your Rights and Choices
Depending on your location and applicable law, you may have the right to:
- Access: Request a copy of the personal information we hold about you.
- Correction: Request that we correct inaccurate or incomplete information.
